MISFITS
Working Meeting Minutes
Thursday, September 27, 2007
Location - MISFITS Office, St. Paul, MN
In Attendance:
MISFITS Coordinators -
Peter, Matt, Thomas, Dave
Guests: Elliot
Events
- Spy Night - The
coordinators agreed that the October 13th date for Spy Night
would be difficult to pull off, given permitting issues from
the City of Bloomington. Matt proposed combining spy night
with Rex Movie Night. Peter contacted the Rex guys, who gave
their okay.
Spy night will now be Saturday, November 17th at the
Sheraton. Matt will call in the morning to reserve rooms
(first choice Plazas 5/6, second choice Bloomington/Edina,
third choice Plazas 2/4.) He will also reserve a bar for the
evening. Matt will try to cancel the room that was reserved
on 10/13 (Ish may have to do this) and will confirm that
Plaza 4 is already reserved for 11/17, along with the CVG
Programming Room. Preliminary Plan for that day:
2:00 PM CONvergence Brainstorming Session
4:00 PM Rex Spy Movie 1 of 2 (Family Friendly)
6:00 PM Rex Spy Movie 2 of 2
8:00 PM Food Break
8:30 PM Casino Doors Open
11:30 PM Casino Closes
11:30 – 12:00 Tear-down
Dave will continue to work on getting mugs, jackets, and
commemorative poker chips from Shirtz in St. Paul. The plan
is to recognize staff appreciation at the Casino event. The
group agreed not to charge money for Casino night. A
permit for the new night will need to be obtained from the
City of Bloomington. Ace High Casinos will also have to be
booked for four tables. Once hotel and casino company are
booked, we’ll send out an email to the membership apprising
them of the change in date. The language drafted for the
email, which Chris Jones will send out to CVG membership
will also be sent out to the MISFITS mailing list, as well
as given to Joe Scrimshaw to announce at his comedy events.
The group agreed to do a postcard drop for Spy night. MC’s
will work to obtain all necessary materials to assemble
after the November con-com meeting and mail out that
weekend.
Programs
- In the Schools -
Erin Lorenz is stepping down for the time being due to
personal illness. We need to find two replacements.
Room Parties
- CVG - The group
entertained the idea of ordering pizza for our CVG room
party in 2008 each night. We could get a cheap deal from
Little Caesar’s (about five dollars per pizza.)
- MarsCon - Matt
agreed to once again run the MarsCon room party. He will
fill out a Room Party request form and contact MarsCon to
reserve a room at the hotel and make sure we are listed as a
party. His budget is once again $300.00. He’s planning a
similar “Saturday morning cartoons & cereal event” as it was
very successful last year.
Budget
- Thomas shared a new letter
from the IRS. Elliott agreed to contact respond to the
government organization on our behalf. The CONvergence books
audit scheduled for September 6th, 2007 didn’t happen. The
MISFITS organization received their first restitution
payment from Kate Carey. At the current rate of repayment,
all money stolen should be returned to the organization
within ten years. MISFITS members present at the meeting
reviewed our annual budget and revised a number of
categories (captured by Thomas the Treasurer.)
Membership
- Matt received four new
MISFITS membership forms. He has processed their emails and
added them to the MISFITS general announcements list.
