Coordinators Retreat Minutes
January 26-28, 2007

PART 1
Club Updates
- Jodie will update this
list with Google Group numbers. Jodie's been updating the
club websites regularly.
- Book/Movie - (37
people on google group) Attendance has been down lately.
Should work on announcing movies on the Google group more
frequently. Two movies/books have switched slots. Work on
communicating locations to new members. There hasn't been a
lot of traffic on the google groups as a whole yet. Jodie
talked about how the core group hasn't really talked about
the movie or book. Discussions have tended to be more about
SMOFing. November date will be moved off OmegaCon.
- Crafty Geek - (43
people on google group) Erica and Jodie want this to happen
and Ginger said she will help. Now that the election is out
of the way, the heads have decided to start it up again on a
regular Sunday during the month at Crafty Planet (on a
central location.) It can also be at peoples homes (on an as
needed basis.) The heads would like to invite Bridget to
attend/lead a Crafty Geek panel at CONvergence this year.
- Geek Reads - (41
people on google group) It's going strong. Alicia is doing a
good job of hosting. There is a core group of four to six.
It was at Cathy and Seth's last time. Alicia is utilizing
the list and she communicates with Jodie about web updates.
For CVG, the group needs to decide if they want to partner
with Bujold at CVG for a panel. Jodie would suggest doing a
Bujold pick for the July pick and have the GOH choose a
selection for us to read. Alicia is looking for more help to
run the club. Perhaps Cathy, Seth, or Angie would like to
assist as a co-head. Jodie really liked the set up of
choosing books a few months in advance and voting on picks.
- Geek Physique - (9
people on google group) Tim is now utilizing Google Groups,
mnsf, and his personal LJ. It might make sense to put Tim up
on the website as a visual aid for people to identify him
with. He's done a great job of holding regular weekly walks.
It was suggested to put up all regents and club head photos
for identification.
- Gaming Club - (18
people on google group) Dave's been using the list and
checked out Shinders for next week. It’s the Shinders in
Roseville. It's on the 4th.
- MISFITS General List
- (49 people on google group)
- Tom Hardy wants to start
an anime club. We'll put up a blurb on the website to gauge
interest. We could put up a site for "Potential Clubs" that
include Photography, Anime, and Writers Group. MC's
officially approved this as a potential club.
- One thing we should start
enforcing rules as a way to measure club attendance and
staffing the room party at CVG. Around February 15th, we
need to get a yearly update from all the club heads about
attendance. Create a flyer for future room parties
advertising our clubs and potential clubs. We should buy a
small magazine rack for parties (capital expenditure.)
Events Updates
- GOT Edutainment
-Art museum - Week of 2/24. Quarterly museum club as a
possibility? Dave is looking for a sub-head. Future possible
events - soccer games and roller derby games, geocaching/
orientation event. Now a Quarterly Club. Jodie suggested a
new category of "Mixer" events that are event driven and not
timeline idea driven.
- Regents Retreat -
May 4,5,6
- Next MC Retreat -
will be January 25,26,27, 2008. We will try to have a Rex
Movie Night Saturday, January 26th, 2008. Dave will email
Ish to secure room.
- Rex Movie Night -
has been postponed until we can secure a hotel room. Peter
will email Eric about possible dates. Dave will work on
getting us in on hotel room discussions with Ishmael and the
Sheraton.
- Trivia Contest -
Scheduled for April 21st. Everyone has created questions
except for Pat and the next planning meeting is February
7th. Bridget will be captain of a team and there will be a
random draw for her teammates. Peter will broach this
subject to the trivia committee. Dave will talk to Bridget
about it.
Room Party Updates
- MISFITS will pay half the
room from now on.
- Anime Detour - we
will pay for room as a one-time exception (financial
hardship). Total budget $350.00 including room. If you
remove the beds, MISFITS will pay for bed removal and whole
room. Form and website will be updated by Jodie.
- MarsCon - Dave is
running the party. He has submitted a form to both us and
MarsCon. Regents have come up with an alternate theme,
Saturday Morning Cartoons, as a suggestion (Pajamas and
cereal party.)
- Minicon - We could
ask Emily and Jen if they want to run it. Otherwise we can
allocate the budget towards other local room parties.
- OddCon - Mike,
Alicia, Chris, and Melissa will be running the party.
- Matt will drop off some
flyers at the Spring MicroCon. Peter will drop some
off at the Source.
Budget Report
Project Giving
- $250 a quarter
- Donate $250 to Second
Harvest and $250 to Wilder Foundation. Jodie will update
website. Thomas will cut checks. Matt will write a letter
and email it to Jodie for Thomas to use on letterhead.
Regents will think of local charities for next quarter.
PART 2
Prom Update
- Amada is meeting with
Emily tomorrow afternoon and making tickets. Tickets will be
numbered. We'll sell tickets at Marscon, Anime Detour,
Minicon, and Trivia Contest. She is making a kissing booth,
which will be in the con. Tentative kick-off meeting
Saturday, February 10th (prom committee.)
- Get info to Chris before
next email goes out.
- Ice Breaker - Which
creature am I?
- Photo booth at the prom.
We want to buy the printer as a capital expenditure. Sharon
and Chris will be taking pictures. Take into account how
many toners are needed. Check with masquerade about printer
costs.
- Prom decorations - want to
construct a proscenium and a bucket. People have cut-outs as
creatures for posing with. Sheets of red Mylar around the
room (Anderson prom catalogue.)
- Awards - Emily wants to do
a random King and Queen award. Also having awards like
creepiest costume, best dressed, etc. Buy cheap trophies.
- We need mailing labels for
a Twin Cities mailing. Andy has the Convergence database and
we need it in two to three weeks. PO Box has been opened.
- Romeo will design flyers
for the con and post card mailings. Dave will contact Andy
and get mailing labels. Add trivia contest to mailing.
Return Guest of Honor
Update
- Bridget looks like she
will return around Trivia Contest. We'd like to bring back
someone every year for In the Schools program.
- Erin Lorenz is heading
this up - Amada recommended Southview Middle School and
Concord Elementary. Matt will email Amada a follow up.
In the Schools
- Erin is doing the Science
Stuff (Raptor Center, Robotics, and Rocketry).
- We are looking for a new
Authors in the Schools liaison. Dave and Peter will fish
around for volunteers.

PART 3
Election Post Mortem
- Overall the election went
well, but there were some problems. It was only planned one
week before.
- Dave's biggest problem -
rules ignored for membership. Thomas suggested that we
distribute to the heads of dept. a list of people that have
put in at least 15 hours. Peter thought that was a bad idea
to turn membership to depts.
- Dave was concerned about
not sending out emails to eligible people earlier to review
list for accuracy. People should pass a list at ConComs for
attendance. Number of hours volunteered should count.
- Suggest upping meetings to
three instead of two.
- Robust discussion ensued
with the following conclusions. Admin coordinators are
responsible to produce their respective membership lists and
present it to the other five regents not up for election by
January 1.
- This list must include
eligible to vote, not eligible to vote, and possibly
eligible to vote. The other regents must certify that list
two weeks prior to the election. The list is then printed
and given to the election judges after it has been approved.
Possibly eligible members are ones who have attended
meetings and might reasonably have sufficient volunteer
hours but further validation is required. Both admins should
bring proof of voting eligibility to the election.
