Working Meeting Minutes

Post Mortems
- CVG Room Party -
Our party was a great success. We received numerous
complements about it all weekend long. Everyone loved the
lab theme coupled with the educational videos. Suggestions
for next year - all officers should work a minimum of one
hour per night but also only a maximum of two hours per
night. This will prevent what happened this year - Jodie
ended up pulling a five hour shift on Friday night and Matt
took a five hour shift on Saturday. If an officer is unable
to volunteer a minimum of one hour a night, that officer
should find someone else to cover the shift (someone who
wouldn't otherwise volunteer for a shift, i.e. no misfit
staffers that would be there anyway.)
Also, drop the spaghettios. We were good on meat and lettuce
but next year buy shredded lettuce and chop onions ahead of
time. We only went through a few onions. The veggie chilli
was excellent. Emily posted the recipe in her live journal.
Look for different serving bowls that separate all the
ingredients. We ran out of Taco Sauce early. We were good on
Salsa. We were really short on cheese. Dave has kept
specifics regarding quantities. We need to buy disposable
gloves for next year and attach weights to the shower
curtain. We should have a laminated print out of
instructions for the back wall for volunteers who come in
for a duty shift that lists things they should be checking
on as well as cooking times. Matt suggested a second TV or
viewing screen for the patio area. We could use a big board
or white board with a "now playing" and "next up." The
educational films need to be circulated more - there were
eight volumes and only three were played. Next year,
advertise shorter hours and we can stay open later if there
is interest.
Dave has stated that he is looking to cover the walls in a
"dry erase" board material for next year. Matt suggested
tubing and piping hanging from the ceiling. We need to buy a
carpet swifter / pusher. A rubber mat for the floor would be
nice, as well as more power strips. The power strips should
be kept separate from the "bucket" in the office and an
officer should be at the office while the gravediggers are
taking things out and putting things back to supervise.
We should list a sheet with the officer's cell phone numbers
(this could be on the laminated instruction sheet at the
bottom.) It would be nice if all board members could work a
shift at the room party. The officers thank all the board
members who were able to swing a shift or two during the
convention weekend. We got good feedback on the lab coats.
Matt and Ish have come to an arrangement where the MISFITS
room party is in con space and under purview of resume and
not the parties sub-head. We should have an officer's huddle
on Friday morning. Assuming Shipside remains con-space and
is not remodeled by the Sheraton in the near future, MISFITS
will be guaranteed Cabana 114, an excellent location.
- Sketch - Everyone
enjoyed it but none of the officers wanted to perform a
sketch for next year. Angie suggested a fun sketch where the
officers walk by eating ice cream and we have a sign
advertising our ice cream social.
- Literary Reception
- Jodie made it to the reception. All three judges and six
of the winners were there. We were uncertain about our food
situation so we didn't have any there. Next year we will try
to have food. The winners were read at opening ceremonies
and it was nice that we didn't have to drag out that bit at
opening ceremonies any more than necessary.
Club Updates
- Geek Physique - The
weekly walks are progressing nicely. Last week, there were
seven people at the walk. The walks have been moved indoors
due to heat advisories recently. The aerobics panel at
CONvergence was cancelled due to unforeseen circumstances.
Tim is the current head of the group and he is planning an
activity for August that will hopefully draw a lot more
people in. Tim will be sending new locations to Jodie for
August and September either Thursday or Friday.
- Book / Movie - (31
people on the google group list) 11 people attended
Jurassic Park. Meetings have been going well and the
selection meeting will occur in October.
- Geeks Read - (29
people on that google group) There were over thirty people
at the panel at Convergence. Eric Flint talked more about
his recent books than the book in question. Adam is now a co
head or sub head (not sure which.)
- Crafty Geek - (41
people on the google group) The next meetings have been set
for August 20th and Sept 17th. The panel at Convergence was
packed and four new people signed up there for the google
group.
- Writer's Group -
Bridget is willing to run group. Sharon Snyder is a
possibility as well but has not been formally approached.
- MISFITS of Gaming -
There are already 5 people on list. Peter will follow up
with Dave on Saturday. First meeting is 6th of August. A
possible event for this group is game day at the source.
Budget Report
- Thomas presented the
budget report. He ran through a list of recent expenditures,
including $740 for the Mark Time Awards, checks to the
Sheraton - one for the scavenger hunt and one for the trivia
contest, $225.98. He paid the Raptor Center $500.00 for
Convergence. The Minnesota Science Frontier was paid
$100.00, as well as $100.00 to Sarah Richards for Reptiles.
There was a check for 69.06 for the trivia contest Guest of
Honor pictures. Matt bought a DVD player for room parties -
this was $53.24. Jodie was paid $120.74 for the party. The
room party expenses came to $332.00. We have spent $832 of
our $1,200 capital expenditure budget. We also have a banner
that is coming. Our current balance is $37,247.57.
Program Updates
- GOT Edutainment -
Windy emailed the officers back about GOT Edutainment. We
suggested two activities to the head of GOT last month
(Indoor Water Slides and State Fair.) Windy suggested a
Burlesque Show on Saturday night, August 19th. Windy
requested that the officers appoint two co-heads for GOT.
The officers have nominated Dave B. and Erica Z. Jodie will
check with Erica about her interest. Dave B. is organizing a
trip to the Body Worlds exhibit at the Science Museum. The
exhibit is open through September 4th. Windy also was
interested in soliciting interest in a day at Valleyfair, an
apple orchard or corn maze outing in the fall, or a trip to
an art museum.
- In the Schools -
The program is going well. Erin was not available for a
report. The officers ask that David Kingsley provide a
report on the authors portion of the program and hope that
dates are being set up for the fall for author visits.
- Writing Contest -
Jodie will distribute rest of books at the ice cream social.
Jodie is still working on a post mortem with the judges. She
is also verifying the addresses and sending out the prizes.
Events Updates
- Annual Ice Cream Social
- We have a $200.00 budget for this. Last year, we spent
$106.58. We are anticipating more people at this social,
given the higher amount of advertising it has been given,
the public location, and the hotter weather. Matt and Peter
have a list of supplies that we need to buy. Peter will work
on getting a Sam's Club Card to use and both officers will
go grocery shopping the morning of the Ice Cream Social;
Matt will pick Peter up around 9:30 AM on Saturday, August
5th. Angie is donating a cooler for the social and will drop
it off at Matt's house.
Other
- The Officers want to look
into getting a dedicated Sam's Club card for MISFITS use.
- Peter will take attendance
at the upcoming ConCom meeting.
- Jodie is assisting with
the OmegaCon website.
- Erica is remaining on the
officer's mailing list for a transitional period whilst Dave
assumes her duties.
- We need to buy a dolly,
preferable one that transforms like a robot in disguise.
- We need an inventory list
and checkout system for all our capital stuff.
- Thomas wants an OPS
computer and printer for the office.
- Thomas gave Jodie some
paperwork from the former president, Rhonda. Jodie received
this paperwork one year after assuming her duties as
President. Better late than never.
- We need to buy a new
microwave and a mini-fridge.
